Historically, Custodians have stored physical documentation in filing cabinets and have maintained records of such documentation in various formats, e.g. an Excel spreadsheet. However, this means users must continually perform manual checks against the documentation record in order to determine the appropriate action for printing of various reclaims.
Our latest development, the Documentation Management System (DMS) enables the recording of documentation. DMS can be deployed as a stand-alone application or we can create a dynamic link between the documentation record and GTRS, whereby documentation can be recorded directly against an account within GTRS. This in turn becomes the driver for generating the reclaim printing within GTRS, thereby eliminating the need for continual manual checking.
DMS offers a workflow process which enables users to track the status of each individual document, and also a diary function so users can monitor expiry dates of documents and manage their re-solicitation process accordingly. It is also possible to create a correspondence library within DMS to generate the various different letters that might be required.
DMS comes complete with a standard suite of preformatted reports which can be printed in hard copy or as pdf files. There is also a report builder module available which enables you to define your own report content and export it to a csv file format. When coupled with the Scheduler these reports can also be ordered or scheduled in advance to automate the reporting process.
It is also possible to attach an external document scanner and store electronic images of documents against the individual accounts, thereby reducing the volume of paper storage.
